Fax Server

5.1 Introduction

"Rainmail Server" has a fax server installed by default. The fax server can send/receive faxes. You can send faxes directly from your PC applications (like MS-Word and Netscape). "Rainmail Server" will collect the faxes sent from the application, queue them and send it out whenever possible. Similarly, "Rainmail Server" can receive faxes. Incoming faxes will be converted to a picture (in TIFF format) and sent by email to the administrator.

Sending a fax is easy, as you can fax the document directly from your computer. Simply choose the fax printer instead of your normal LAN printer, enter the fax number or choose the recipient from any ODBC-compliant phone book, and you're done. The document is sent to the fax server over the network with one click of the mouse.

5.2 WHFC install

  1. Copy  Hylafax client whfc-1.0.9_setup_en.exe file from the utilities directory of RIS cd or alternatively download from the intranet page.


  2. By default, "Rainmail Server" places a page with links to various resources about your server in your intranet. This can be accessed using the URL http://server from anywhere in your LAN. It will bring up the following page:





  3. To download the file, click the link Hylafax client-whfc.


  4. In the File Download window, choose Save option. The Save As dialog box appears.





  5. In the Saves As dialog box you can select the path where you want to store it.






  6. Click Save. It will be saved in the specified directory in your hardisk (in this case Desktop).


  7. Run the install program whfc-1.0.9_setup_en.exe by clicking on it.





  8. Unpack the downloaded file somewhere in a temporary directory (in this case C:\ Program Files). Click Finish.





  9. The wizard will run the WHFC setup program. In the Choose Destination Location dialog that appears.






  10. Select the destination folder. Click Next.





  11. Choose Standard as the Setup type. Click Next.






  12. Type a new folder name or select one from the existing Folders list (in this case WHFC). Click Next.





  13. To install to a different folder, click Browse and select another folder. Click Next.





  14. Regmon will register.





  15. Click Finish to complete setup.






  16. In Windows '98 click Start, point to Program Files then Whfc and then click whfc to open hylafax.     

5.3 Configuring Windows'98- Printers Fax

  1. In the Control Panel, double click Printers to install a new printer.

  2. In the Printers window, choose Add printer to open the add printer wizard.

  3. Click Next.

  4. Select Local printer and click Next.

  5. Select Apple from Manufacturers listbox and Apple LaserWriter from Printers listbox. Click Next.

  6. Select Keep existing driver (recommended). Click Next.

  7. Select the port WHFCFAX: WHFC Faxprinter port from the Available ports listbox. Click Next.

  8. Enter the name of the Printer in the Printer name text box, instead of default Apple LaserWriter ( for example: Faxprinter). Click Next.

  9. Click Yes to print a test page. Click Finish.

  10. You can see an faxprinter icon created in the Printers Window.


5.4 Configuring Hylafax

  1. Start WHFC, the fax client for Windows. You can use the Fax menu to set user and system preferences.

5.4.1 User settings


To set the User preferences do the following:

  1. Select User preferences from the Fax menu.

  2. In the User Settings dialog that appears,

    1. Enter the full name of the user (in this case Suresh) in the Name field.

    2. Enter the login name of the user (in this case suresh) in the Login field.

    3. Enter the email addressof the user (in this case suresh@carizen.com) in the E-Mail field.

    4. Click OK.

5.4.2 System Settings

In the System Preferences you can change all the necessary system settings.

  1. Select System Preferences from the Fax menu.

  2. Enter the IP address of Rainmail Server in the Hostname field ( in this case 192.168.1.4).

  3. Click OK.



5.4.3 Sending faxes


To send a fax with WHFC, create a document with an application such as Open Office/MS Word. You can send faxes directly from your PC application. To send faxes:

  1. Open the document from your PC application.

  2. Select Print from the File menu.





  3. In the Send Fax dialog that appears,

    1. Enter the fax number (in this case 4958228) in the Fax No. field.

    2. Click OK.





  4. In the Password dialog that appears,

    1. Enter the password in the Password field.
    2. Click OK to send the fax.



  5. If the fax is not sent it is stored in the send queue so that you can send it later.


5.4.4 Send, Receive and Done queue

Whfc toolbar has Send -Receive and Done queue (S, R, D) buttons that are enabled when you are connected to the network. You can display the Send -Receive and Done queue. These queues give information about the Faxes waiting to be sent (Send Queue), Faxes that have been received (Receive Queue) and Faxes that have been sent out successfully (Done queue).

  1. To view send queue, click Send queue in Whfc Toolbar.


     

  2. To view Receivequeue, click Receive queue.

5.5 Restricting fax numbers

Outgoing faxes can be restricted based on outgoing fax numbers on a per-user basis. For example, we can say that specific users are not allowed to send faxes to numbers starting with "0" (this indicates a long distance or international Fax). The restriction is based on the starting fax numbers (for example all the numbers beginning with "08"). Once done, the restricted user will not be able to send fax to the restricted numbers.

 

  1. Enter the fax number ( in this case 080554678) in the Fax No. field.


  2. Click OK.





  3. If the fax number is restricted then whfc displays an error message. The message "You are restricted sending fax to this number" will be displayed.





5.6 Receiving faxes

Incoming faxes will be converted to a picture (in TIFF format) and sent by email to the administrator. Administrator can look at the fax and forward the same by email to the intended recipient.
